Your role is to welcome new climbers, make sure they get through reception smoothly and help them get to Pairing.

What to do

At 18:15:

Arrive at the centre and make contact with the Event Director for the evening

Pre-event:

Get a walkie talkie from the event director and near the reception area ready to welcome new climbers. People who are attending a Clan event for the first time won't know what the process is and will need your help to understand how the evening works.

From 18:30, when people arrive:

  1. Stand by or opposite reception with your walkie talkie
  2. Look at the queue for people with red wristbands, or anyone who looks lost! 
  3. Listen to your walkie talkie, for check-in telling you of any new people who have blue or green wristbands
  4. Introduce yourself to the people in the queue who may need your help, and offer to help guide them through reception.
    • "Is this your first time with the Climbing Clan? I'm Sam - one of the volunteers. Would you like me to help you get through reception and show you where to go next?"
  5. At reception, say something like
    • "This is Sarah, this is her first time here. She's completed a participation form, she needs to hire everything, we'll be supervising her, and we'll sort that out separately".
      or
    • "This is Jim, this is his first time here. He's completed the participation form, and hoping to get signed off since he climbs at other centres"
  6. Reception will then sort their forms and payment for entry.
  7. When they're done with reception, lead them to the pairing area, and introduce them to the people on Pairing
  8. Return to your original location, leaving the new person with pairing.
  9. The Event Director will be in touch on the walkie talkie to let you know when you're able to head to Pairing yourself, and starting climbing.

We've sometimes had problems with newer-and-less-new climbers checking-in but not finding pairing. With competent belayers this is just a missed opportunity, but with non-belayers, this is actively dangerous, so your role is make sure everyone finds their way to Pairing.
